The Role of a Vivify Community Host: How We Look after Your School

Our Community Hosts are responsible for opening and closing our schools across the UK on evenings, weekends, and school holidays for our fully managed service. A few weeks ago, we caught up with Karim, one of our hosts, who provided insight into how his role works.

Our fully managed lettings programme includes onsite staff, recruited and trained by us. We also look after uniforms, HR procedures, rotas, payroll, references, lone working devices and enhanced DBS checks, taking that stress away from our schools.

“As a community host, I feel like I do something to help the community. I help other people, and I help myself. Whenever I do something good, I get back good things.”

That’s why we started Vivify. Our easy-to-use booking platform makes it simple for people to find local spaces to get together, whilst also helping to provide much-needed funding to schools. Karim continues:

“We have access to the booking platform, so we can know what our hirers need for their booking. For example,  they may need nets or  tables with some chairs for a meeting. We make sure we provide them with this before they arrive.”

We enrol all our hosts on our thorough Training Academy, where they learn everything from operational standards, security, safeguarding and customer service.

“Each school has a manual that provides all the information about the school, such as risk assessments, fire evacuation and emergency plans. All the community hosts have access to it easily can easily access it.”

The safeguarding and the security of the school is one of our top priorities, and every Community Host has an enhanced DBS check. Before and after pictures are taken on every shift, so we can ensure facilities are left in a good condition for when pupils arrive the next day.

"During my time as a Community Host, we have never had any kind of damage from the hirers. But even if that was to happen in the future, we’d fill out an accidental damage form and report it to the customer centre and Regional Manager. The company will pay the school directly for the damage, and the hirer then covers the cost of that damage."
